How to read the Trial Balance
- Each row is a ledger account (e.g. Cash, Sales, Purchases, Member Ledger)
- Accounts with a debit balance appear in the Debit column
- Accounts with a credit balance appear in the Credit column
- Total Debit = Total Credit → accounts are balanced ✓
- They don't match → there's an error somewhere in the transactions
What to do if it doesn't balance
- Run the Day Book for the period to look for unusual entries
- Check if any manual journal entries were entered incorrectly
- Look for sales or purchases with mismatched payment entries
tip
Run the trial balance at the end of each month as a quick health check on your accounts.
