Trial Balance

The Trial Balance lists all ledger accounts with their debit and credit balances. It verifies that total debits equal total credits — a fundamental check in double-entry accounting.

How to read the Trial Balance

  • Each row is a ledger account (e.g. Cash, Sales, Purchases, Member Ledger)
  • Accounts with a debit balance appear in the Debit column
  • Accounts with a credit balance appear in the Credit column
  • Total Debit = Total Credit → accounts are balanced ✓
  • They don't match → there's an error somewhere in the transactions

What to do if it doesn't balance

  1. Run the Day Book for the period to look for unusual entries
  2. Check if any manual journal entries were entered incorrectly
  3. Look for sales or purchases with mismatched payment entries

tip

Run the trial balance at the end of each month as a quick health check on your accounts.
